1 Acceptance of Terms

By creating an account for, subscribing to, or using Bar Cop (the "Service") at barcop.com or app.barcop.com, you agree to these Terms of Use. If you use Bar Cop on behalf of a business, you agree on its behalf and confirm you have the authority to do so.

If you do not agree to these Terms, do not use the Service.

2 What Bar Cop Is

Bar Cop is a subscription software application for bars and restaurants. It helps you record and organize your own operational data, inventory, labor, shift cash, sales, costs, events, and books, and it calculates figures such as pour cost, variance, labor percent, and profit from the numbers you enter.

Bar Cop is an operational tool only. It runs alongside your point-of-sale system; it does not ring sales, process transactions, or replace your POS.

3 Your Account

You need an account to use the Service. You are responsible for keeping your login credentials secure and for all activity that happens under your account.

The account owner controls billing and may invite team members and assign them roles. You are responsible for the people you invite and the access you grant them. If you believe your account has been accessed without your authorization, contact us at support@barcop.com.

4 Subscriptions and Billing

Bar Cop is sold as a subscription, billed monthly or annually per location, through our payment processor, Stripe. By subscribing, you authorize recurring charges to your payment method at the then-current price until you cancel.

Each additional location you add is its own separate subscription at the same rate. Prices are shown on the Site and in the app and may change. Any price change applies to your next renewal, never to a term you have already paid for. You are responsible for providing accurate billing information and for any taxes that apply to your subscription.

5 Renewal and Cancellation

Your subscription renews automatically at the end of each term, monthly or annual, unless you cancel. You may cancel at any time from Manage Billing in the app. There is no cancellation fee and no long-term contract.

When you cancel, your subscription remains active through the end of the period you have already paid for and then does not renew. Payments already made are non-refundable. See our Refund Policy for full details.

6 The Free Demo

Bar Cop offers a free, fully functional live demo loaded with sample data. The demo is provided for evaluation only. Nothing you enter in the demo is saved, it creates no account, and it carries no obligation.

7 Not Payroll, Legal, Tax, or Accounting Software

This matters, so read it carefully. Bar Cop is an operational software tool. It is not payroll, legal, tax, or accounting software, and nothing it produces is professional advice.

Bar Cop calculates figures from the data you enter and presents worksheets and reports to help you run your business. It does not file taxes, run payroll, cut paychecks, remit funds, or replace your accountant, bookkeeper, attorney, or payroll provider. You are solely responsible for having a qualified professional review anything you file, pay, or act on.

8 No Guarantees or Outcomes

Bar Cop helps you see and organize your own numbers. It does not guarantee increased revenue, reduced costs, recovered money, or any specific result.

Figures such as recovered-to-date totals, forecasts, and audit scores are calculated from the data you enter and from assumptions built into the Service. They are estimates to guide your decisions, not promises. Your results depend on your own data, decisions, staff, and business conditions.

9 Your Data

The operational data you enter is yours. You are responsible for its accuracy and for how you use the outputs. You can export your books and reports, and the account owner can export a full backup of the account, at any time while your subscription is active.

You grant Bar Cop the limited right to store and process your data only as needed to provide the Service to you. We do not sell your data. See our Privacy Policy for how we handle it.

10 Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Share, resell, or sublicense your access
  • Copy, scrape, reverse-engineer, or extract the Service's code or content
  • Interfere with, disrupt, or overload the Service
  • Attempt to access other accounts or our systems without authorization
  • Upload malicious code or use the Service to harm others

We may suspend or terminate access for violations of this section.

11 Intellectual Property

The Bar Cop software, name, branding, design, and all content we provide are owned by Bar Cop and protected by intellectual property laws. Your subscription grants you a limited, non-exclusive, non-transferable right to use the Service for your own business while your subscription is active.

Your subscription does not transfer any ownership of the Service to you. Your own data remains yours.

12 Availability and Changes

We work to keep the Service available and reliable, but we do not guarantee it will be uninterrupted or error-free. We may update, add, or remove features over time, and we may perform maintenance that temporarily limits access.

We are not liable for interruptions, delays, or failures caused by events outside our reasonable control.

13 Limitation of Liability

To the fullest extent permitted by law, the Service is provided "as is" and "as available." Bar Cop will not be liable for lost profits, lost revenue, lost data, business interruption, or any indirect, incidental, or consequential damages arising from your use of or inability to use the Service, or from reliance on any figure it produces.

To the extent liability cannot be excluded, our total liability for any claim is limited to the amount you paid us for the Service in the twelve months before the claim. You use the Service and its outputs at your own risk.

14 Indemnification

You agree to indemnify and hold harmless Bar Cop from any claims, losses, or expenses arising out of your use of the Service, your data, your violation of these Terms, or your violation of any law or the rights of others.

15 Termination

You may cancel at any time as described above. We may suspend or terminate your access if you violate these Terms, if your payment fails, or as required by law.

On termination, your right to use the Service ends. You may export your data before the end of your paid term.

16 Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will update the date at the top of this page and, where appropriate, notify you in the app or by email. Continued use of the Service after changes take effect means you accept the revised Terms.

17 Governing Law

These Terms are governed by the laws of the State of Texas, without regard to its conflict-of-law rules. Any dispute arising from these Terms or the Service will be handled in the state or federal courts located in Texas, and you consent to their jurisdiction.
