How to run Bar Cop.
Step-by-step guides for every part of the app. Keep this open in a second window while you work, so you can follow along on your own screen.
Export and Print a Worksheet
Bar Cop gives you three different things to take off the screen: a PDF of a report you are looking at, a blank paper worksheet to carry on the floor, and a spreadsheet for your accountant. They are separate on purpose.
Save a PDF of what is on screen
Roughly forty screens carry an Export button: every report, log and history page. Press it and you get your computer's own Save box with the filename already filled in.
- Files come out as BarCop_StockReport_20260818.pdf, so a folder of them sorts itself.
- On a report with tabs you get the tab you are on, and the tab name goes in the filename, so saving each one does not overwrite the last.
- The screen's own controls, tabs and buttons are not in the file. You get the report, not a picture of the app.
- A wide table turns the page landscape on its own.
There is no browser print preview anywhere in Bar Cop. A button gives you a file. If you want it on paper, print the file you saved.
Print a blank worksheet
A worksheet is the opposite: an empty grid, built to be printed and filled in by hand. It is for the part of the job that happens away from a screen, on a clipboard, at the dock or on a shelf walk. Somebody writes it down, and a manager enters it into Bar Cop after close.
Fourteen screens offer one. Among them:
- Inventory Count Sheet, laid out in your own count order.
- Delivery Inspection Sheet, for checking a truck line by line at the dock.
- Schedule Worksheet, Server Shift Check Sheet, Booking Inquiry Pad.
- Logs for voids and comps, waste, transfers, adjustments, empties, maintenance and incidents.
Each one prints portrait, on a single page, with the column headings kept on one line so nothing wraps into an unreadable stack. They are worksheets, not forms: a place to write things down before they go into Bar Cop.
Export a spreadsheet
Where the destination is an accountant rather than a clipboard, Bar Cop writes a real workbook instead of a PDF:
- Month-End Books
- The Annual Review
- Payroll Export, for handing hours and pay to whoever runs your payroll
These open in Excel, Numbers or Sheets and can be worked on at the other end, which a PDF cannot.
What is on every file, and why
Every deliverable carries the same three lines at the foot:
Generated from data you entered in Bar Cop on [date]. Bar Cop is a software tool, not a CPA, accountant, tax preparer, payroll provider, attorney, or other professional advisor. Review and verify before filing, presenting, or making material decisions.
It is on the file rather than in a popup you click past, because the file is the thing that travels. It goes to your accountant, your lender or your landlord, and that is where a question about it would start. Nothing is gated behind an acknowledgement box: the notice is on the screen and in the document, and you get on with your day.
Handing a document to someone
Two of these are built to be read by an outsider rather than by you. The Month-End Books and the Annual Review are laid out as documents, not screenshots, so they hold up when a bank or an accountant opens them. The audits export the same way, score and findings intact.
If a save box does not appear. Some browsers do not offer the native Save dialog. Bar Cop falls back to an ordinary download, so the file lands in your Downloads folder under the same name instead. Nothing is lost, it just skips the "where do you want it" step.
