How to run Bar Cop.

Run a Spot Check

A spot check is a fast theft and overpour read on a handful of high-risk bottles across one shift. You count them before service, count them after, tell Bar Cop what the register rang, and it shows you whether what left the bar matches what was sold. It takes ten minutes and it is the fastest way to find out whether a suspicion is real.

It does not touch your inventory counts. It borrows the product list and nothing else, so a spot check on a Friday night cannot disturb the weekly count you took on Monday.

One bar at a time

A spot check is scoped to one service bar and its register, and that scope is the whole point. It is the only way the bottles that left can be matched against what was actually rung.

  • Pick the bar you are checking from the dropdown. Those are the locations you marked as service bars on Set Locations, with the checkbox on that screen.
  • The product picker narrows to that bar's liquor, wine, bottle beer and draft.
  • The POS sales you enter must be that register's takings for the shift, not the whole venue.

Pick your targets

You do not check everything. Pick the bottles most likely to walk or get overpoured: your top shelf and your fast movers. A short list you actually finish beats a long one you abandon at close.

Count before and after

Set the pre-shift count when the shift starts and the post-shift count when it ends. Your check auto-saves to the device, so you take the pre-counts at open, put the phone down, and come back to finish at close.

  • Liquor and wine use the fill slider.
  • Bottle beer is cases plus loose.
  • Draft uses the keg slider.

If you brought more up from storage mid-shift, put it under Restocked. Without it the used figure counts stock that was never on the bar at open, and the result is wrong in the direction that looks like theft.

Tell it what the register rang

Enter what the register rang for each product, or drop that register's POS sales report and Bar Cop fills it in by matching product names. Same drop box as everywhere else in the app.

Reading the result

Bar Cop works out what physically left the bottle from your two counts and compares it to what was rung. Anything off by more than your tolerance flags red, in either direction, and the direction is the finding:

  • Over. More left the bar than was sold. That is the classic sign of overpouring, give-aways or theft.
  • Under. Less left the bottle than was rung in, which points at short pours that skimp the guest.

Set Flag at % at the top to your own tolerance. It remembers what you set, so you are not re-entering it every shift.

After you save

Saved checks land in Spot Check History, where View opens the full breakdown. Hit Review on a flagged product and the investigation opens on the spot, working the same record Loss Prevention reads, so a lead never has to be retyped to be worked.

A check counts once both sittings are in. It feeds Loss Prevention and the Bar Cop Audit after the post-shift count and the register numbers are entered, so finish the second half or the check sits there doing nothing.
