How to run Bar Cop.

Close The Week

One page, once a week. Close The Week is where your numbers become a week, and it is the only routine Bar Cop asks you to keep.

Nothing here is a checkbox

Every line on this page reads your actual records. There is no Mark Done anywhere, on purpose. A tick can say the sales are in when they are not; a record cannot. If a row says the hours are in, it is because Bar Cop can see them.

The six rows

  1. Sales. The one everything else is built on. Behind the button are both ways in, a file drop and a day-by-day grid, because a bar with no POS export needs the same door as everyone else. The row tells you how many days are in and what they came to.
  2. Hours. Drop your timeclock export or open Log Hours. Reads back as total hours across however many rows landed.
  3. Tips. Optional.
  4. Cash over and short. Optional. Only if you count drawers in Bar Cop.
  5. Cost of goods. You do not type this if your counts cover the week. It says "From your counts" and that is it.
  6. Catering. Optional. Events you booked in Bar Cop show up here on their own.

Sales and Hours are the two that matter. The other four are there if you use them, and the page marks them optional so nobody chases a row their bar does not need.

Cost of goods and how often you count

Bar Cop will not tell you how often to count. Plenty of bars count fortnightly or monthly by choice, and that is a decision about your operation, not a compliance box.

What it will not do is price a week off a pair of counts that does not actually span that week. That guard exists because a monthly counter once had a whole month of usage booked onto a single week and prime cost read about four times what it was. So the row says one of three things and each is honest:

  • From your counts, when your counts cover the week.
  • Type it on the confirm, with the date of your last count, when they do not.
  • Take a count to fill this in, when there is nothing to work from yet.

Confirming

The button at the end opens the confirm popup. That is the moment the week becomes a closed week, and it is what every other screen in Bar Cop reads from. Until you confirm, nothing downstream moves.

Confirming tags the counts behind that week Booked. A booked count loses its Delete button, because the cost of goods in a closed week was priced off it. Editing one is still open to you. Save the change and Bar Cop names every confirmed week whose cost of goods actually moves, shows you the real before and after, and lets you choose: update those weeks with the corrected figures, or save the count on its own and leave the confirmed weeks exactly as they are. To change a week's own figures rather than a count, Week History has an Edit button on every confirmed week that opens this same popup.

Closing a week you missed

The week selector at the top steps back. Closing a week late is normal and nothing is penalised for it. Drop the files, confirm, move on. Bar Cop dates the records from the week, not from the day you got round to it.

What happens after you confirm

Everything else updates itself. Your Hub, your audits, Week in Review, the Books, the forecasts and the Fix systems all read closed weeks. There is no second step, no publish, and nothing else to remember.

The first close gives you a real cost of goods and pour cost. Three closes wake up the movement cards. Around a month in, the recovery numbers start. That is covered on Your First Week if you want the whole timeline.
